The Kenya
Universities and Colleges Central Placement Service (KUCCPS) has
officially opened the inter-institutional transfer portal for the 2025/2026
academic year.
This gives students who were placed in universities or
colleges through KUCCPS the opportunity to change their institution or program
if they feel the need to.
KUCCPS has confirmed in an official notice to university and
college heads that the inter-institutional transfer window will be open from
July 14, 2025, to August 24, 2025.
Who is Eligible for an Inter-University Transfer?
Not every student can apply for a transfer, so it’s
important to understand the eligibility criteria. Only students who were
successfully placed by KUCCPS during the 2025 intake are eligible for the
transfer.
Additionally, you must meet the minimum entry requirements
for the course and institution you wish to transfer to. If you’re targeting a
specific program, ensure that your KCSE subject combinations and cluster points
align with the new program’s requirements.
Also, your reason for transfer, whether it’s medical,
financial, or personal, should be clearly stated and, where possible, supported
with documentation.
To apply to a university or college transfer, follow these
simple steps:
- Log in
to the KUCCPS student portal using:
- KCSE
index number
- Year
of exam
- Password
(usually your birth certificate number)
- Go to
the “Transfer Applications” section.
- Enter
the code of the program and institution you wish to transfer to.
- State
your reason for transfer, providing a genuine explanation (e.g. health
concerns, change of residence, financial difficulties) and attach any
relevant documents.
- Confirm
you meet the course requirements.
- Submit
your application.
- Pay a
non-refundable processing fee of KES 1,000 via M-Pesa or
eCitizen, following portal instructions.
- Your
application will be sent to the receiving institution for endorsement.
- KUCCPS
will review the application and, if approved, generate your transfer
letter.
- Present
the transfer letter at your new institution to proceed with admission.
Tracking Your KUCCPS Transfer Application
After applying, it’s important to keep track of your
application progress. To check your status, go back to KUCCPS student portal
and log in with your credentials.
Under the “Transfer Applications” tab, you’ll be able
to view real-time updates on your application, whether it’s still pending, has
been endorsed by the receiving institution, released by your current
university, or approved by KUCCPS.
It’s advisable to check regularly, as each endorsement stage
requires action from both institutions. Once all stages are completed and your
application is approved, you can download your official transfer letter
directly from the portal.
Important Transfer Guidelines to Keep in Mind
KUCCPS allows only one transfer application per student, so
be sure about your choice before applying. Transfers submitted after the
deadline won’t be accepted unless in very rare cases.
Before applying, check that your desired course still has
available slots and that you meet the required cluster points.
Lastly, once approved, you’ll need to report to the new
institution with your transfer letter to receive your new admission details.
